ABOUT THE ROLE

 

The Office Manager– QLD is responsible for supporting the Head of AFL QLD to execute all administrative activities that contribute to the overall success of the Queensland team, by providing overall administrative support to AFLQ’s state head office in Brisbane and all regional based offices. 

 

Based in Brisbane and reporting to the Head of AFL QLD, the role is a pivotal role within the state that is instrumental in the effective management of AFLQ office locations, ensuring that all office locations across the state run smoothly and efficiently.

 

Leading initiatives to enhance the office experience and environment for our QLD based team members, this position provides an exciting and dynamic opportunity to contribute to a fun and inclusive environment.

A DAY IN THE LIFE 

 

What you will be responsible for

 

  • Oversee the management, functioning and day-to-day activities of the AFL’s state head office in Brisbane, as well as the coordination of all regional office locations across QLD. 
  • Assist with all administrative tasks and matters relating to AFLQ offices, as the main point of contact for all office administration including but not limited to mail, stationary/office supplies, general inquiries phone & email management, printing, uniforms, office maintenance and general enquiries.
  • Oversee the guest experience for all visitors and ensure a personal, friendly experience for anyone coming into the office.
  • Leading initiatives to enhance the office experience and environment, contributing to a positive and fun atmosphere.
  • Provide calendar, meeting, team/event, and strategic administrative support to the Head of AFL QLD.
  • Manage AFL ticketing requests and memberships for home Lions and SUNS matches as well as the Toyota AFL Grand Final. 
  • Assist Head of AFL Queensland and other team with travel and accommodation bookings as per the appropriate travel policy. 
  • Coordinate team meetings, leadership meetings and team engagement activities/ functions. 
  • Prepare IT, building access and compliance / induction requirements for new starters.
  • Provide high-level finance support to Head of State and QLD Finance Business Partner – including purchase orders, credit card reconciliation, invoice payments and other general financial activities as required. 
  • Be the first point of contact at AFLQ for all office related key business functions, including connection with national business units such as Finance, IT, People, Ticketing and Insurance.
  • Support the AFL Risk and Compliance team with QLD activities to ensure WH&S compliance across QLD.
  • Provide ad-hoc administrative support to the QLD team including managing game day accreditation where required.
  • Coordination of the Motor Vehicle Fleet including all vehicle related matters. 
  • Support the broader team with any key projects within and outside of core role from time to time, including organising and assisting with events.

Must haves – what’s needed to help you be successful  

 

  • Demonstrated experience in an Office Manager role, supporting a large and geographically dispersed team. 
  • Strong administrator that is process oriented and proficient in all aspects of administration and organisation.
  • Exceptional time management skills, attention to detail and excellent organisational and interpersonal skills.
  • Excellent communicator with the ability to build and maintain strong relationships with a variety of stakeholders. 
  • Passionate about problem solving and continuous improvement; always looking for the best technical solution to business problems/opportunities.
  • A high level of experience in the Microsoft Office software suite.
  • Proven initiative with a flair for providing innovative solutions to problems.
  • Discretion when dealing with confidential information.
  • Ability to multitask and manage and prioritise a varied workload in a fast-paced and changing environment.
